Issuing Credentials: Step-by-Step Guide

This article explains how to issue credentials to recipients using the Credentium Issuer application.


Overview

The credential issuance process follows a 3-step wizard:

  1. Select Template - Choose which credential template to issue
  2. Add Recipients - Enter recipient information (manually or via bulk import)
  3. Review & Issue - Confirm and issue the credentials


Alternative: Moodle Integration

If you use Moodle as your learning management system, you can issue credentials directly from Moodle using the Credentium Moodle Plugin. This allows automatic credential issuance when learners complete courses or activities. See the dedicated Moodle Plugin documentation for setup and usage instructions.


Before You Begin

Requirements

  • At least one Active credential template
  • Available credential credits in your subscription
  • Recipient information (name and email address)


Access

Navigate to CredentialsIssue Credentials or click the Issue button on the main navigation.


Step 1: Select Template

Choosing a Template

The wizard displays all Active templates from your organization. For each template, you can see:

  • Badge image
  • Template title and description
  • Claim counts (achievements, assessments, activities, entitlements)

Click on a template card to select it. The selected template will be highlighted.


Direct Template Selection

You can also start the issuance wizard directly from a template page by clicking Issue Credentials on the template details view.


What If No Templates Are Available?

If you don't see any templates, you need to:

  1. Create a new template in Credential Templates
  2. Add at least one claim to make it Active


Step 2: Add Recipients

You can add recipients in two ways: Manual Entry or Bulk Import.


Manual Entry

Searching Existing Recipients

If you've issued credentials before, you can search for existing recipients:

  1. Type in the search box (email, first name, or last name)
  2. Select recipients from the search results (up to 20 shown)
  3. Use checkboxes to select multiple recipients


Adding New Recipients

If the recipient doesn't exist:

  1. Click Couldn't find? Add recipient
  2. Fill in the form:
    • Given Name (required, max 100 characters)
    • Family Name (required, max 100 characters)
    • Email (required, valid email format)
  3. Click Add


Bulk Import

For issuing to many recipients at once, use the bulk import feature.

Supported File Formats

  • CSV files (.csv) - semicolon or comma separated
  • Excel files (.xlsx, .xls)
  • Maximum file size: 5 MB

Important: Column positions are fixed. The system reads by column position, not by header names.

Downloading Sample Files

Click Download sample XLSX or Download sample CSV to get a template file with the correct structure for your selected credential template.


Importing the File

  1. Click Add bulk tab
  2. Drag and drop your file, or click to browse
  3. Wait for processing (a spinner shows progress)
  4. Review imported recipients in the list


Handling Errors

If there's an error in your file:

The import stops at the first error. Fix the issue and re-upload.


Entering Grades

If your template includes Learning Assessments, you must provide grades for each recipient.

When Adding Recipients Manually

A modal appears automatically asking for grades after adding each recipient. Enter the grade for each assessment claim.


When Using Bulk Import

Include grade columns in your file (columns D onwards). Each column corresponds to an assessment claim in the template, in the order they appear.


Editing Grades

After adding a recipient, you can edit their grades by clicking the Edit (pencil) icon next to their entry.


Step 3: Review & Issue

Reviewing the Summary

Before issuing, review:


Template Summary:

  • Template name and image
  • Claim counts


Recipients Summary:

  • Total recipient count
  • Click View all recipients to see the complete list with names, emails, and grades


Credit Check

The system verifies you have enough credential credits:

  • If sufficient: Proceed to issue
  • If insufficient: Error message shows "Available: X, Required: Y"

Contact your administrator or Credentium support to purchase additional credits.


Issuing Credentials

  1. Click Issue credentials (N) where N is the recipient count
  2. Confirm in the modal dialog
  3. Wait for processing


What happens after clicking Issue:

  1. Issuance requests are created in the database
  2. Requests are queued for asynchronous processing
  3. You're redirected to the credentials list
  4. Processing happens in the background (typically within 3 minutes)


After Issuance

Tracking Progress

On the Credentials list page:

  • Requested (yellow spinner) - In queue, waiting for processing
  • Issuing (yellow spinner) - Currently being processed
  • Issued (green checkmark) - Successfully completed
  • Failed (red X) - Processing failed


Email Delivery

Recipients automatically receive notification emails. Track delivery status via the envelope icon:

  • Green - Delivered to recipient's mailbox
  • Yellow - Sent, awaiting confirmation
  • Red - Bounced or marked as spam

Best Practices

Before Issuing

  • Verify recipient emails - Invalid emails result in bounced notifications
  • Double-check grades - Credentials cannot be modified after issuance
  • Test first - Issue a test credential to yourself to verify the template


Bulk Import Tips

  • Always download the sample file first
  • Keep the column order exactly as in the sample
  • Remove empty rows from your file
  • Save Excel files in .xlsx format (not .xls)
  • For CSV files, use semicolons or commas as separators


Managing Recipients

  • Remove unwanted recipients before issuing (click trash icon)
  • Verify grades are displayed correctly for each recipient
  • Check the total count matches your expectations


Troubleshooting

"No templates available"

Create and activate a template first. A template needs at least one claim to be active.


"Insufficient credits"

Contact your organization administrator or Credentium support to purchase additional credential credits.


Bulk import fails immediately

  • Check file format (.csv or .xlsx only)
  • Verify file isn't empty
  • Ensure file size is under 5 MB


Recipients not appearing after import

  • Check the file has the correct column order
  • Verify all required fields are filled
  • Look for error messages at the top of the page


Credentials stuck in "Requested" status

Processing typically takes up to 3 minutes. If credentials remain in Requested status longer:

  1. Refresh the page
  2. Check the processing status
  3. Contact support if issue persists


Frequently Asked Questions

Can I cancel an issuance request?

Once issued, credentials cannot be cancelled. You can revoke them after they're issued.


Can I issue to the same person twice?

Yes. Each issuance creates a new credential, even for the same recipient.


What happens if an email bounces?

The credential is still issued and stored in the recipient's wallet (if they have one). Only the email notification fails.


Can I edit recipient details after adding them?

You can remove and re-add recipients with corrected information. For grades, use the edit button.


How many credentials can I issue at once?

There's no hard limit on the number of recipients per issuance. The limit is your available credential credits.
